Drop Policy when Refunds Apply

The following is the general policy for tuition refunds by the School of Continuing and Professional Studies.

When authorized, the amount of the refund is made on the following basis for credit courses consisting of 10 or more sessions (includes TV Engineering courses):

  • full refunds are granted automatically when a scheduled class is cancelled
  • before the first class meeting, full refund of tuition less a $12 processing fee;
  • after the first class meeting and before the second class meeting, refund of 80% of tuition;
  • after the second class meeting and before the third class meeting, refund of 60% of tuition; and
  • after the third class meeting, no refund.

Requests for refund must be received in writing by the continuing education center where you registered for the course. (You may ask your Site Coordinator for assistance in contacting the proper Center.) On your request, please include your name, social security number, course name, schedule number, start date, refund amount, and method of payment. Notifying an instructor or sponsoring agency does not constitute an "official" request to withdraw from a course (for refund purposes). If you do not officially withdraw from a class, you will receive a grade of "F". (NOTE: Although it is not considered an official withdrawal notice, you are asked to inform your instructor of your intention to withdraw from the course.)

If the original payment is by credit card, include the card number since any refund must be credited to that account. The University treasurer in Charlottesville, Virginia issues refunds for check or cash payments. Please allow 4-6 weeks for processing.

Drop Policy after Refund Period

The Commonwealth Graduate Engineering Program will follow the School of Engineering Drop/Change Deadline (to be posted on Calendar for each semester). Prior to this deadline, changes may be made for any reason by properly notifying the instructor and program administrator (Rita Kostoff - rfk2u@virginia.edu). Changes to Audit must be with instructor approval. After the official drop/change deadline and prior to the final exam, withdrawals may be allowed, depending upon individual circumstances. Please discuss with your instructor and follow up with written request, copying the program administrator (Rita Kostoff - rfk2u@virginia.edu) on all correspondence.
